Front Office Administrative Assistant

Job Description The Administrative Assistants /Front Office team members are an integral part of our patients on site experience. This multi-faceted role will require cross training in several areas of sub-specialty including Front Office, Authorizations, Centralized Scheduling, and Medical Records.  Core responsibilities include greeting patients, answering phones, scheduling of patient appointments, confirmation of appointments and prior histories, communication with Radiologist concerning schedule and protocols for scans, communication with Technologist about changes, and running, reviewing and disseminating all necessary workflow tracking,  including cash collecting and insurance information as established by Company.
Specific Duties

Basic Duties

  • Schedule range of appointments via Company’s Radiology Information System (RIS).
  • Work in add-ons, stats and patient cancellations with a “no problem” attitude.
  • Communicate with Radiologist/Technologist all changes to patient schedule or orders.
  • Follows RIS protocols to ensure complete, accurate and detailed patient registration including proper tabs and note fields.
  • Proactively work the schedule to minimize down time, by calling patients in early.
  • Communicate to patients any delays in their appointment time.
  • Communicate all system issues and incidents to the DAS or appropriate Supervisor.
  • Demonstrates cost effectiveness in use of supplies and equipment.
  • Adheres to HIPPA requirements.  Ensure the security of all Private Health Information (PHI) by following adopted office procedures.
  • Requires ability to multi-task and prioritize. Work well under pressure.
  • Requires ability to demonstrate good judgment and follow all policies as they relate to attendance, dress code, safety, timesheets, reporting procedures and maintaining patient confidentiality at all times.
  • Treat patients, referring physicians and co-workers in a courteous, respectfully and empathic manner at all times.
  • Remains flexible with patient schedule and other changes in working conditions. May be required to work at different sites or in various capacities.

 

Front Office Basic Duties     

  • Confirm patient’s insurance eligibility, authorizations and all other billing information.
  • Confirm patient’s appointments using confirmation form appropriate to scheduled exam.
  • Prepare and maintain accurate medical record files and notes according to procedures.
  • Request and process previous films and reports for comparison when applicable.
  • Inform patients of required exam preparations.
  • Process patient payments in accordance with payment and cash handling policies.
  • Fax preliminary reports as directed by the Radiologist.
  • Provide patients and referring physicians with reports in a timely fashion.
  • Verify Radiologist is on site when scheduled. 
  • Ensure that Reading Room is properly supplied and outfitted.
  • Prepare films and “burn” disks in accordance to referring physician and patient requests.
Location North San Diego County
Hours Generally Monday - Friday, Ranging from 7am to 7pm
Qualifications

Requires High School Diploma or equivalent
Associates Degree or Medical Assistant Certification preferred
2 years office experience in Radiology or other similarly related medical specialty

Strong Medical Terminology
Strong Computer Skills including Microsoft Office applications
Excellent Customer Service skills
Bilingual (English/Spanish) a plus
